How to track Whatnot profit, not just the sales number

The sales number is not the profit

How to track Whatnot profit starts with ignoring the big number on the show. That figure is what buyers paid. It is not what you kept. Commission comes off the item. Payment processing comes off the order. If you covered shipping, that comes off too. Then there is the number Whatnot never has: what you paid for the thing you just sold.

Seller Analytics in Seller Hub is useful for sales, orders, and viewers. Whatnot says those earnings are estimates, they usually land a day or two later, and they are not the file you should hand an accountant. A $2,000 show can be a good night or a bad one depending on a box you bought last month.

The five numbers on every sale

Write these down for one item before you try to track a whole show.

  • Sale price. What the auction closed at, before shipping.
  • Your cost. What you paid for that item, or a fair share of the lot it came from.
  • Commission. Whatnot takes this on the item price only, not on shipping. For most US categories the starting rate is 8%. Coins and money start at 4%. The rate can drop after a strong four-week stretch. Check Seller Hub for the rate on your account.
  • Payment processing. In the US this is 2.9% plus 30 cents, charged on what the buyer actually paid, including shipping they paid.
  • Shipping you paid. Free or reduced shipping is your cost. It does not show up inside the sale price.

A $80 sale, walked through

Say a pair closes at $80. You paid $35. The buyer pays $8 shipping. You are on the standard 8% commission and you did not cover shipping.

Commission is $6.40. Processing is 2.9% of $88, plus 30 cents, which is about $2.85. You keep $80 minus $6.40 minus $2.85 minus your $35 cost. Profit is about $35.75. The show graphic still says $80. Both numbers are true. Only one tells you if the purchase was worth it.

If you had offered free shipping and eaten that $8, profit falls by about $8, and processing gets a little smaller because the buyer paid less. Run that version before you announce free shipping for the whole show.

The Monday spreadsheet, and where it breaks

Whatnot emails a weekly orders report. Paste it into a sheet, add a cost column, and you can get to profit after the fact. That is a real method, and it is what most sellers use.

It breaks in three places. Refunds land in the week they are processed, not the week you sold the item, so a good Sunday can look worse next Monday. A lot of six items needs the cost split or the profit on each row is a guess. And the sheet cannot tell you, while you are still live, that the last ten auctions were under water.

If you sell a few things a week, the sheet is enough. If you run long shows, you will feel the gap in the middle of the stream, not when you open the file.

What you still cannot see from the report

Profit per item answers "did I make money." It does not answer which hour of the show did it, which buyer keeps showing up, or whether the giveaway pulled anyone who spent. Those sit in the order times and the usernames, and almost nobody sorts them.

NxtSale is built for that second set of questions. Your cost lives on the item, so profit is there when the sale happens, and the same log shows the hour and the buyer. The fee math above is still the math. The difference is you are not waiting until Monday to do it.

Questions sellers ask

Does Whatnot show my profit?

Whatnot shows sales and estimated earnings after its fees. It does not know what you paid for the inventory, so it cannot show profit.

What is a normal Whatnot commission?

For most US categories the starting commission is 8% of the item price. Coins and money start at 4%. Higher sales over four weeks can unlock a lower rate. Payment processing is separate.

Should I track profit per show or per item?

Per show tells you if the night worked. Per item tells you what to buy next. You want both. Show profit hides one expensive miss inside a stack of small wins.

Is the weekly orders report enough?

It is enough to reconcile a light week. It is late, and refunds and lot costs still need you. It will not help while the show is still on.
